1. Who we are
Viventia is operated by The Trustee for The ATD Family Trust (ABN: 71 170 938 521), referred to in this policy as "we", "us", or "Viventia".

2. What data we collect
Account data: When you register, we collect your name and email address.
Reflection data: Viventia asks you to answer questions across up to 15 life domains. Your answers — including free-text responses, scale ratings, and multi-select choices — are stored and form the core content of your Life Brief.
Goal data: If you set goals, we store the goal descriptions, progress notes, and coaching session transcripts you submit.
Usage data: We use Plausible Analytics, a privacy-first analytics tool. Plausible collects no personal data, sets no cookies, and is fully compliant with GDPR, CCPA, and the Australian Privacy Act. We receive only aggregate, anonymised statistics such as page views and country of origin.
We do not collect: payment information (no paid tier currently), advertising identifiers, or third-party tracking cookies.
3. How we use your data
- To provide the Viventia service — storing your answers, generating your Life Brief, and powering goal coaching.
- To send transactional emails — account creation, password reset, and notifications you have opted into.
- To improve the platform using aggregated, anonymised usage analytics.
- To fulfil legal obligations.
We do not sell your data. We do not use your data for advertising. We do not share it with third parties except as described in Section 4.
4. AI processing — important disclosure
Viventia uses artificial intelligence to synthesise your reflection answers into personalised insights and to power the coaching features. To do this, your answers are sent to Anthropic, Inc. (the maker of Claude AI) via their API.
This means your reflection content is processed by Anthropic's systems. Anthropic's Privacy Policy governs their handling of this data. Anthropic does not use API-submitted data to train their models.
By using Viventia, you consent to this processing. If you do not wish your answers to be processed by Anthropic, do not submit them through Viventia.
5. Where your data is stored
Your data is stored on servers located in Singapore, operated by DigitalOcean. Singapore maintains data protection standards consistent with international requirements. Email is delivered via Mailtrap (transactional email service).
For users in the European Economic Area (EEA): by using Viventia you acknowledge that your data is processed and stored outside the EEA. We rely on the adequacy of Singapore's data protection framework and, for Anthropic processing, standard contractual clauses.
6. Data retention
We retain your account and reflection data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where retention is required by law.
7. Your rights
Depending on where you are located, you may have the following rights:
- Access: Request a copy of the personal data we hold about you.
- Correction: Ask us to correct inaccurate data.
- Deletion: Ask us to delete your account and personal data.
- Portability: Request your reflection data in a portable format.
- Objection: Object to certain types of processing.
- Withdrawal of consent: Where processing is based on consent, you may withdraw it at any time.
To exercise any of these rights, email [email protected]. We will respond within 30 days.
EU/EEA users: You have rights under the General Data Protection Regulation (GDPR). You may also lodge a complaint with your local data protection authority.
California residents: You have rights under the California Consumer Privacy Act (CCPA), including the right to know, delete, and opt out of sale of personal information. We do not sell personal information.
Australian residents: This policy complies with the Australian Privacy Act 1988 and the Australian Privacy Principles.
8. Security
We implement reasonable technical and organisational measures to protect your data, including encrypted connections (HTTPS), encrypted session storage, and access controls. No method of transmission over the internet is 100% secure.
9. Children
Viventia is not directed at children under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.
10. Changes to this policy
We may update this policy from time to time. We will notify registered users of material changes by email. Continued use of Viventia after changes are posted constitutes acceptance of the updated policy.
